Employee Experience

EX Process Optimisation — when your HR processes genuinely support the employee experience

A business-analysis approach applied to EX: mapping your HR and managerial processes, pinpointing what creates friction, and documenting what needs to change — from recruitment to offboarding.

Who it's for

This service is for you if…

HR Director / CHRO

Your HR processes (onboarding, mobility, offboarding) create friction your employees feel, without you knowing exactly where.

Operations Director

Your managerial processes are not aligned with the employee experience you want to deliver — you sense it but cannot demonstrate it.

CEO / MD

You have run the EX audit and know the problems — now you need to document and transform the processes behind them.

What you get

The deliverables of your optimisation.

Current HR process mapping

A visualisation of your existing processes (as-is): recruitment, onboarding, career management, offboarding — actors, steps and identified friction points.

Inefficiency analysis

The bottlenecks, breaks in consistency and misalignments between HR and managers that degrade the employee experience.

Target process documentation

The optimised processes (to-be), documented and ready for your HR teams and managers to roll out.

Transformation plan

Prioritised workstreams, named owners and realistic sequencing matched to your current HR capacity.

The key deliverable

Co-build workshops with HR teams and managers

Working sessions to design the new processes together — not imposed by the firm, but built with the people who will apply them day to day.

Our approach

How an EX process optimisation engagement works with Onivio.

Total duration: 4 to 10 weeks depending on scope
1HR process scoping

Together we define the priority processes to analyse (onboarding, mobility, offboarding…), the associated EX challenges and the HR business objectives to reach. This scoping sets the scope and duration of the engagement.

2Detailed diagnosis

We interview HR teams and managers by video to understand the current processes from the inside. Observation, analysis of available data (turnover, onboarding time, satisfaction…) and identification of real friction.

3Documentation & mapping

We produce the as-is map of current processes, then facilitate co-build workshops with your teams to design the to-be processes. The result is documented and ready to deploy.

4Continuous improvement

We build the rollout plan, train the teams on the new processes and set up adoption tracking. The aim: for the new processes to live on beyond the engagement.

Frequently asked questions.

What is EX process optimisation?

It is a business-analysis approach applied to employee experience and human-resources management: we map your current HR and managerial processes (as-is), identify friction and misalignments, then document the target processes (to-be) with a prioritised transformation plan.

Which HR processes are covered?

Recruitment, onboarding, career management, internal mobility, training, offboarding — and the managerial processes that shape the daily employee experience. The scope is defined during scoping according to your priorities.

Who is this service for?

For HR directors whose HR processes create friction without them knowing exactly where, for operations directors whose managerial processes are not aligned with the target EX, and for leaders who have run an audit and want to move to action.

How is this different from an EX audit?

The EX audit identifies the problems and produces a diagnosis. Process optimisation goes further: it documents the current processes, designs the target processes with your teams, and produces a deployable transformation plan.

How does the engagement work?

In four steps: scoping of priority processes, detailed diagnosis (HR and manager interviews, observation), documentation and mapping (as-is, to-be, co-build workshops), then a rollout plan with training and adoption tracking. Duration: 4 to 10 weeks.

How much does this service cost?

From €8,000 excl. VAT. The upper range applies to multi-process or multi-entity scopes. A precise quote is drawn up after an initial scoping conversation.

Are the new processes imposed by Onivio?

No. The target processes are co-built with your HR teams and managers in dedicated workshops. The aim is for the people who will apply the processes day to day to have designed them — that is the condition for adoption.

Do you work remotely or on site?

Onivio is remote-first. Interviews and workshops take place by video. On-site sessions at your premises are possible on request.
